When a site receives equipment gradually, intermediate storage becomes a separate part of the plan. Participants need to know what arrived, what can be released and who approved the next dispatch. Storage conditions, facility suitability and additional operations must be agreed for the actual cargo. Confirm which warehouse will hold the cargo and which party is responsible for storage.

Define each delivery phase

Agree the sequence with the receiver and connect it to site activities. Use package identifiers rather than broad equipment names. If a set is split between phases, record who approved the split. Define a release trigger for each phase, such as confirmed site readiness or authorisation from a named person. A provisional calendar supports planning but should not automatically authorize the warehouse to release goods.

Specify intermediate handling operations

Separate receiving, placement, storage, picking and dispatch in the order. For each operation, agree who is responsible, which documents are needed, the timing and how completion is confirmed. For your shipment, clarify whether opening packages, accessing labels, photographs or repacking are needed. The responsible parties must confirm facility suitability and storage conditions against the manufacturer’s requirements. Spare floor space alone does not establish that the location is appropriate.

Track packages through recorded movements

For each package, record arrival, current location, release authorisation and actual handover. The remaining inventory should be based on recorded receipts and dispatches rather than the latest photograph in a chat. Separate exceptions: a package may be present but awaiting a packaging check before release. Tell the receiver about those restrictions. Nominate someone to reconcile lists and approve corrections so different spreadsheets do not become competing versions of the shipment.

Agree changes before releasing goods

When a phase moves, review storage duration, space availability and subsequent operations. If the receiver requests a different component first, check retrieval and repacking before ordering transport. Include potential additional costs in the approval. After each phase, issue an updated inventory with its date and unresolved entries. Final closure should reconcile all delivered packages and record the agreed treatment of remaining packaging or accessories.

  • Identify packages, receiving party and release trigger for each delivery phase.
  • Allocate receiving, storage, picking, packing and dispatch to responsible parties.
  • Confirm facility suitability and document handling and storage restrictions.
  • Base inventory records on confirmed receipts and dispatches and identify packages awaiting checks.
  • Approve sequence changes, storage extensions and additional costs before extra work.

Leave the route and proposed phases in the form. Email the package register to info@inlogistics.kz with the request reference; a manager will discuss transport and separately agreed storage arrangements.
