A delivery is not complete until the recipient can safely receive and check the cargo. First, we clarify where the truck should arrive

A city name and registered company address are not enough to plan the final leg. Give the actual unloading location, mark the entrance on a map and provide contact details for the receiving team. If several businesses share the site, include the warehouse and building numbers and a landmark at the gate.

Check whether the selected vehicle can reach the unloading area and turn around. Relevant details include access width, gate height, the loading dock and the side from which unloading is possible. Obtain the site’s access rules from the recipient and confirm that the transport plan can meet them.

We compare packaging with warehouse capabilities

Products in boxes, cargo on pallets and a machine in a wooden crate are accepted differently. The supplier must provide the number of packages, and the weight and dimensions of each package. Photos show packaging, protruding parts and markings. Information about the provided lifting and fastening points is confirmed according to the manufacturer's documentation.

The recipient confirms which equipment will be used to unload the cargo. If a particular cargo item requires special unloading equipment, its availability and the contractor are agreed in advance. Arranging transport in itself does not mean that crane work or warehouse personnel are included in the offer. The scope of work must be clearly recorded so that the vehicle arrives at the prepared unloading area.

Check the final approach to the warehouse

The long-distance vehicle may not be able to reach the required gate. If access restrictions mean another vehicle or an extra transfer is needed, first confirm technical feasibility, cost and the handover procedure. Confirm whether this stage is included in the quote.

For fragile equipment, it is especially important to limit unnecessary movements and check the packaging in advance. If the recipient changes the address after the quotation has been prepared, the entrance and scope of work must be re-evaluated. Even within the same city, a new location may require different unloading arrangements.

Information needed for a quotation and handover

Send the collection address in China, product description, packing list and the number, weight and dimensions of the packages. If packing is unfinished, mark the figures as provisional and state when the supplier can confirm them. Include your required delivery date so we can assess whether the schedule is feasible.

Before the truck arrives, we recommend confirming:

  • the entrance address and contact details for the receiving team;
  • the agreed delivery time and capacity to receive the full shipment;
  • a clear unloading area and suitable equipment;
  • the documents used to check package numbers and quantities;
  • the procedure for recording missing packages or visible damage.

At handover, match the labels and package count to the documents, then inspect accessible packaging surfaces. Record any discrepancies using the agreed procedure. Checks of internal contents and equipment performance are separate tasks under the delivery agreement; the transport handover does not replace technical inspection.

Can I get a quote if the warehouse has not yet been selected? You can start with preliminary parameters. The final offer will require an exact address and unloading conditions; changes to this data may affect the scope of work.
