Shipment planning
Collecting equipment from an overseas supplier: what to agree in advance
How to organise the collection of equipment from a foreign supplier: readiness, completeness, packaging, documents, access to the plant and coordination of delivery.
The supplier's message “equipment is ready” does not always mean that it can be picked up. The product may pass the test but remain unpackaged; documents may be prepared separately, and release from the factory may require prior appointment. In order for the vehicle to arrive at the agreed time for shipment, several types of readiness must be checked. Inlogistics organises the collection of equipment for road delivery from China, Europe, Turkey, Dubai and between CIS destinations.
Clarify what the supplier considers ready
Ask to confirm not only the end of production, but also the actual batch contents. Are all components available for pickup, is packaging complete, and are final dimensions and weights known? If equipment is being shipped in parts, it is necessary to determine which batch is ready now and what will be shipped later.
It is helpful to obtain written confirmation of the date and terms of release from the person in charge of the shipment. A sales manager's contact does not always replace a warehouse or production site contact. Agree on the working language and communication channel so that questions about passes, documents and vehicle delivery go directly to the responsible people.
Combine completeness and packaging into one list
Match your order with the packing list. Each package must have a clear identifier, contents, weight and dimensions in transport condition. Ask for photographs of the finished batch, labelling and packaging, especially if separate components or accessories are included with the main equipment.
The requirements for packaging and transport preparation are confirmed by the manufacturer. For oversized and complex equipment, drawings, information about the provided supports and handling rules are provided in advance. Photos help to verify the original data, but do not confirm the hidden condition of the product. Factory acceptance, technical inspection and quality control of goods should be distinguished from transport coordination and agreed separately.
Define the boundaries of responsibilities
Before dispatching a vehicle, find out who packs the equipment, prepares documents, organises loading and provides vehicle access. The terms of the supplier contract and the agreed transport request must describe a compatible arrangement. Otherwise, participants may expect each other to do the same work.
Agree who handles export and import clearance, and have the responsible specialists confirm the documents for the goods, countries and delivery terms. Assess each collection point separately if several suppliers are involved. Confirm the availability and cost of consolidation, extra handling or intermediate storage before including them in the plan.
Confirm the arrangements for truck collection
Send the supplier the agreed vehicle arrival details and confirm the registration procedure. Provide the exact entrance, collection hours, required passes, the dispatch contact and any site restrictions. For large equipment, access must be assessed against the dimensions and configuration of the loaded vehicle.
Immediately before the agreed delivery, the readiness of the batch, documents and loading contractors is checked. If the supplier reports a change, it is communicated to the forwarder before the transport departs, as far as possible. Rescheduling, incomplete delivery or changes in cargo parameters are recorded in the work plan and their impact on further delivery is agreed.
Frequently asked questions
Is it possible to send transport while packaging is not yet completed? First you need to assess the reliability of the declared readiness and the risk of changing parameters. Vehicle dispatch will be agreed based on actual conditions. If the dimensions and weight after packaging are unknown, the final choice of transport may be premature.
Who verifies that the supplier has shipped all the equipment? The scope of the inspection and the responsible party are determined in advance. The packing list and markings can be used for consistent handover control, but this is not the same as technical acceptance or confirmation of product quality. If an additional inspection is required, it is issued as a separate task.
Coordinate the pick-up of equipment
Provide Inlogistics with the supplier’s address, contact details for the person responsible for releasing the cargo, the list of cargo items and planned readiness date. Attach documents, photographs of packaging and delivery conditions related to transportation. We will help you collect questions for the plant and coordinate the truck collection with further delivery to your site.
