Shipment planning
Returning packaging and equipment: preparing a separate shipment register
Distinguish returnable packaging from equipment and agree the contents, condition and destination of the return movement.
A completed delivery may leave crates, transport frames, accessories or equipment that must be returned. The return needs a new description because its contents and packaging differ from the original shipment. Before ordering transport against an old request number, agree with the owner what is returning, its condition and who will receive it.
Separate items by the purpose of return
List returnable packaging, equipment for repair, unused parts and other agreed items separately. Identify their owner and recipient. A frame that remains part of a machine should not automatically be listed as empty packaging. For an international return, give its purpose and supporting documents to the specialist checking the actual operation. The word “return” does not establish applicable procedures or exemptions from charges.
Record the actual condition
Check components, take photographs and record known defects. Distinguish empty packaging from packaging still containing accessories. Identify who verifies cleaning, preparation and the absence of unlisted contents. For used equipment, disclose transport-relevant characteristics to the responsible specialist. A competent party determines technical preparation and suitability for dispatch; a logistics register alone does not constitute that assessment.
Check packaging for the new journey
A previously used crate is not automatically suitable for reuse. Before dispatch, check the packaging for damage and remove old address labels to prevent misdelivery. For industrial packaging, also obtain the packaging specialist’s assessment of its condition and suitability for the current contents. New identification must not obscure necessary technical markings. Measure weight and dimensions after return preparation, especially when packaging is folded or contents have changed.
Agree release and return completion
Name the releasing employee at the site and the receiving representative. Link the return to the original order while retaining its own package identifiers and documents. Agree who confirms receipt and resolves discrepancies. Record packaging intentionally left at the site so it is not treated as missing. Discuss combining the return with another shipment and the price only after the actual package parameters and readiness are known.
- Separate packaging, equipment and accessories with their intended return purpose.
- Confirm the owner, actual recipient and handover address for each group.
- Describe condition, completeness and relevant characteristics before selecting transport.
- Check packaging and link current identifiers to photographs and documents.
- Name the people responsible for release, receipt and final reconciliation.
Leave addresses and contacts in the form. Email the return register to info@inlogistics.kz, referencing the original request where available. A manager will clarify the conditions for the new shipment.
