Shipment planning
Unloading appointments: agreeing a workable delivery window
Define the events covered by a delivery appointment and agree how arrival changes will be handled.
“Come in the morning” does not say when a truck can check in, when the unloading area will be available or who will receive the cargo. Treat the unloading window as a shared confirmation between the receiving site and transport coordinator. This makes gaps between the site’s readiness and the shipper’s expectations visible before the vehicle is dispatched.
Distinguish arrival from the start of unloading
Record the date, local time and site time zone. Separate arrival at security, registration, positioning and the start of unloading. Some sites combine these events; others have distinct procedures. State precisely what the receiver has confirmed. A booking reference does not establish that staff and equipment are ready. Agree how to book and confirm the delivery appointment, and how to change it if the shipment is delayed.
Check people, space and cargo together
The receiver should confirm the unloading area, receiving staff and agreed handling arrangements before confirming the window. They need the actual package list, transport dimensions and packaging details. If equipment must reach installation in a particular sequence, check that this is compatible with unloading. A responsible specialist determines the lifting method and suitable equipment. An unqualified note saying “forklift available” is not that decision.
Agree how the appointment can change
Identify who provides the revised arrival estimate and who can approve a replacement window. Record the primary channel and backup contact. A delay needs a receiving decision as well as a new forecast: does the booking remain valid, must it be changed, and where is waiting agreed? Do not nominate an unfamiliar waiting area without confirmation. Discuss additional operations and costs under the shipment’s agreed conditions.
Close the agreement in writing
Send participants a single record containing the schedule version and outstanding questions. The receiver confirms readiness; the coordinator checks compatibility with the transport plan. After unloading, compare the agreed and actual events to identify whether access, occupied space or changed cargo caused a delay. A factual record helps resolve questions without turning an estimated arrival into an unsupported promise of an exact time.
- Record the date, time zone and event covered by the appointment.
- Confirm the unloading area, receiving team and agreed handling arrangements.
- Use the package list matching the supplier’s latest actual dispatch.
- Name the rescheduling contact, backup number and delay notification process.
- Discuss waiting, extra operations and potential charges before changing the plan.
Leave the route and preferred delivery period in the form. Email the warehouse confirmation to info@inlogistics.kz with your request reference; a manager will review the conditions and prepare a proposal.
