Shipment planning
Seasonal transport planning: which checks need repeating
Review road availability, site readiness and cargo requirements as conditions change between quotation and dispatch.
Road and site conditions can change between the initial estimate and dispatch. A seasonal plan is more useful when it identifies decisions rather than simply mentioning bad weather: what gets checked, who decides and who receives updates. It complements the agreed route and cargo requirements without replacing official road information or professional assessment of driving conditions.
Identify the conditions behind the plan
Separate the main road, site approach and cargo requirements. The road needs current availability information; the site needs confirmed access and handover readiness; the equipment needs the manufacturer’s transport and storage requirements. Do not assign one temperature limit to all products. Record the source of each restriction and who confirms its application to the shipment, so a general weather forecast does not replace product-specific instructions.
Use current route information
KazAvtoZhol publishes operational information about restricted and closed road sections. Check notices for the relevant section and vehicle type, recording when the check was made. An old screenshot is not a current road report. When conditions change, the transport coordinator assesses the effect and participants agree next actions. A possible alternative displayed on a map does not establish its suitability for the selected vehicle or cargo.
Reconfirm the receiving site
Before dispatch, request current information about access, the agreed waiting location and unloading arrangements. Changed surfaces, unavailable gates or revised working hours may require another agreement even when the main road is open. Identify who prepares the site and when readiness will be confirmed. Provide verified information to the driver and carrier rather than expecting them to solve obstacles or use an unconfirmed approach independently.
Prepare a clear review process
Agree the decision contact, notification process and changes requiring a revised quotation. Recheck unloading appointments, storage conditions during any waiting period and supplier readiness when the plan changes. Communicate revised estimates together with their assumptions and outstanding questions. This helps the receiver adjust site work without treating an estimate as a guaranteed date. Confirm resumption of the agreed arrangement after conditions improve; silence is not confirmation.
- Assign separate checks and responsible contacts for roads, the site and cargo.
- Check official information for the actual road section and record the time.
- Have the receiver confirm the approach, handover area and agreed site work.
- Review route changes or waiting against cargo, documents and cost implications.
- Send the revised forecast and agreed decision through the shared communication channel.
Include the route and cargo requirements in your quote request. Email documents to info@inlogistics.kz with the request reference. A manager will clarify the conditions for planning the shipment.
