Two proposals for the transportation of the same equipment may differ due to the scope of work. One takes into account the necessary approvals and conditions on the site, the other only indicates the movement of the vehicle between two points. Therefore, the comparison begins with an answer to the question: what result does the customer pay for? For oversized road transport, you need a quotation for a specific cargo and route with a clear list of included work.

Cargo parameters determine the transport task

The basis is the weight and dimensions of each package in transport condition. Take into account packaging, protruding elements and accessories provided by the manufacturer. Equipment of the same mass may require different solutions if it differs in height, length, shape or permissible placement conditions.

Therefore, the preliminary description must be confirmed with documents and actual parameters. The option of transporting the equipment in separate components approved by the manufacturer is discussed separately. Unauthorized disassembly for the sake of reducing dimensions is not a way to save money. If the manufacturer allows a different configuration, the entire scope of preparation, transportation and subsequent restoration is compared, and not just the transport rate.

The route affects more than the mileage

For oversized cargo, the possibility of passage, restrictions on sections of the route and conditions of access to both sites are assessed. A shorter road is not always suitable for the selected transport configuration. Additional examinations and approvals may change the scope of work and the sequence of preparation.

For international deliveries, identify border formalities and who handles them. Assess special permits and escort requirements for the specific route. The quotation should list these items and their assumptions separately. A permit obtained for a previous shipment does not establish approval for the current one.

What to check as part of an offer

Ask to disclose which costs are included in the total and which are assessed separately:

  • Provision of a suitable vehicle and road transport along the agreed route.
  • Route assessment, required approvals and permit arrangements.
  • Escort vehicles and additional operations specified in the transport plan.
  • Loading, unloading and transport supports within the agreed scope.
  • Waiting time, insurance and return of supports, where applicable.

For every unclear item, it is better to get a direct answer. The wording “all inclusive” is only useful in conjunction with the list and boundaries of the service. Please check currency, applicable taxes, payment procedures and offer expiration date. This allows you to compare options on the same basis.

Which changes require a revised quotation?

The cost may change if, after approval, the cargo parameters, address, supplier readiness or receiving arrangements change. For example, new packaging can increase the transport size, and moving the unloading point may require re-checking the entrance. Such changes must be communicated prior to delivery of the vehicle.

A practical way to manage a budget is to include a list of inputs and assumptions with your quotation. Record what information has been confirmed, what is still being clarified, and who is providing it. Additional work and its cost are agreed in the manner prescribed by the contract. The customer must understand what events affect the quotation and who makes the decision.

Frequently asked questions

Why can’t you price an oversized shipment only based on the price per kilometre? Mileage reflects only part of the problem. Transport configuration, route preparation, approvals, site operations and work distribution are important. The universal rate does not show the full composition of a specific shipment.

How to cut costs without unproven solutions? Start with accurate data, agreed readiness of both sites and a clear schedule. Check to see if the same work is paid for twice by different participants. Possible configuration options and routes are compared after technical confirmation, taking into account all associated costs.

Get a clear quotation

Send equipment parameters, transport drawings, photographs and addresses to Inlogistics. Indicate who is responsible for loading and unloading and what work has already been organised. We will discuss the scope of road transport and the preparation of a quotation so that you can evaluate the proposal by content, and not just by the final amount.
