A useful packing list explains what each cargo unit contains and how it relates to the consignment. The International Trade Administration describes package contents, weights and dimensions as part of that document. For shipment planning, add clear identifiers and readiness status. The following is a working structure, not a universal form for every country and procedure.

Start with the consignment and document version

Identify the sender, receiver, order number or shared reference, and preparation date. Keep legal company details distinct from the actual collection address if they differ. Add a contact who can confirm packaging. For an unfinished consignment, label the document clearly as provisional and identify outstanding items. A file is not final simply because it has already been sent to a carrier. When the package count changes, distinguish the new version in both its filename and contents.

Link product lines to physical packages

Each row should identify a particular crate or a clearly defined group of identical units. Include the identifier, packaging type, quantity and contents, using a model or item code where useful. Show the hierarchy when one crate contains several products: the number of goods inside does not turn it into several cargo units. If a set is distributed across multiple crates, record that connection. The receiver can then check completeness before installation or warehouse release.

Add the data needed for transport planning

Enter external dimensions and gross weight for each unit, with measurement units. Keep net weight and totals separate. We recommend a comments field for manufacturer-confirmed stacking limits, orientation and handling requirements. Do not automatically copy dimensions down every row: similar-looking crates can contain different assemblies. Attach photographs using the same identifiers. Mark provisional figures in the relevant cells; a general note at the end can easily disappear when information is forwarded.

  • Check package count against the physical packaging and its labels.
  • Verify weight totals, identical-unit quantities and measurement units.
  • Check that item references and completeness agree with the order.
  • Identify missing information and the person responsible for confirming it.

Send one agreed version

Ask the supplier and purchasing contact to review the file before sending it. Do not rename goods for convenience without agreement from the data owner. Where the document is needed for a particular procedure, confirm its required details separately with those handling that process. For quotation work, a checkable table alongside a fixed copy of the agreed version is useful. Following a packaging change, update affected rows, labels and photographs as well as totals. List the differences in the covering email so the service provider does not have to discover them independently.

Send the packing list to Inlogistics at info@inlogistics.kz. Include the route and the contact used in your enquiry; if data is provisional, state when final packaging is expected.
